A Major Milestone for eVett!

Following on from the excellent reception of V0.5 in April, Foransic are pleased to announce that eVett v1.0 has been released today. Version 1.0 culminates and builds on the previous releases, pulling together over two years of incremental customer driven development.

eVett now offers a complete solution for your Vetting Management needs in one convenient package. The modular design allows you to select just the aspects that compliment your working processes, but also allowing you to grow in the future by adopting further features to automate and lighten your manual workload. Today Foransic has released version eVett version 0.5. This version includes over 40 incremental enhancements over v0.4:

• Updated BSVR features
• Refreshes to the general Clearance Management features
• Enhancements to Shares
• Wording changes throughout to improve user experience

Incremental UpdaTes in response to User Feedback

Foransic have always valued customer feedback – we consider what our User’s tell us to be invaluable in helping to shape our product roadmap. The v0.5 release is a clear demonstration of this policy, as it consists of over 40 incremental changes driven entirely by our customer focus.

Today Foransic has released version eVett version 0.4. This version includes a number of significant enhancements:

• Enhanced User Profiles and Form Pre-population
• An updated List View Layout
• Updated Security Appraisal Form workflow
• The introduction of the Vetting manager Role type for internal BSVR approvals
• Revised and extended Notifications Management

User Profiles / Form Pre-population

Applicant User Profiles have been created to retain the most recent version of an Applicant’s core clearance, application and Security Appraisal Form information (note – just the subset that is retained throughout the lifetime of the clearance). This allows eVett to pre-populate any additional application forms with the most recent data that a User has provided, to reduce re-keying. Pre-set data entry can be changed by the User if required.

Updated List View Layout

This release introduces the concept of tabbed layouts for list views, and the action dropdown for each record. Where relevant, list views (specifically Clearance and SAF lists) are now split across multiple tabs to make the display of common searches faster. As the list of potential actions on an individual record has increased it is now easier to navigate directly to the action or view a user may wish as each record now has a dropdown with common actions available for a vetting user to switch directly to.

Updated Security Appraisal Form processing

The Security Appraisal Form (SAF) now has a dedicated workflow. If an applicant creates a SAF with no changes (such as a name change), eVett will automatically process the changes without Vetting team intervention. However if the Applicant is submitting a SAF with changes, or has lapsed clearances to restore, the SAF will be queued for the Vetting team to manually review. The vetting review phase allows the Vetting team to query information (similar to when an application for a clearance is made), and for the applicant to provide feedback, all within eVett. Finally the outcome of the SAF can be decided and update the User Profile.

Vetting Manager Role / BSVR Manager Approval

There is now a new role of Vetting Manager. A Vetting Manager can change the role of any user to be either an Applicant (default) , Vetting User or Vetting Manager (note: a user cannot change their own role). Where a BSVR has been signed by the Vetting user but also marked by the Vetting user as requiring manager approval, the BSVR will not complete and instead moves to a new state of ‘Awaiting Manager’. Later a Vetting Manager can open the same BSVR and provide a second signature at which point the BSVR will become ‘signed’.

Revised Notifications Management

The Notification module has been enhanced in this release. A number of additional notifications have been defined in line with HPE feedback on the previous release. It is also now possible to assign a notification template to be triggered against more than one workflow state change, as well as to create new scheduled notifications (reminders).

Responding to customer feedback, Foransic are pleased to announce the release of eVett v0.2 today. These updates underline some of the key principals of eVett, to drive up the accuracy of the Vetting Process whilst simplifying the Applicant’s experience.

Linked Clearance Applications

If an applicant applies for a BPSS and Higher Clearance together, eVett will now link the two applications to minimize the overhead for approvals and emails. Linked applications show a reference to the linked clearance record in their detail pages. An approver will only receive a single email for both and will provide a single justification and approval for the clearances. Additional logic ensures that if the BPSS is withdrawn, then the Higher Clearance will automatically be withdrawn. However failure to obtain authority approval for the Higher Clearance will not automatically withdraw the linked BPSS Clearance.

NSV Application Sub States

Additional status can now be tracked when a clearance is in the final stages of approval. This allows the Vetting team to record the date at which their sponsor actions have been completed on the external authority portal, as well as the date at which the Applicant has completed theirs. The search capability on the Manage Clearances screen has been enhanced to allow searching on the status of these items if already searching for Applications in the relevant workflow states.

Lapsing and Withdrawing Clearances

Clearances that have been fully approved can be manually Lapsed (moved to a Lapsed state) by the Vetting team to indicate circumstances where an individual has left HPE. When Lapsing a clearance, the date will default to ‘today’ but can be overridden to indicate a past date if necessary. Lapsed clearance records can later be returned to the active states by the Vetting team were the individual to return to engagement with HPE, thus avoiding a repeat application.
